The L&T Institute of Project Management (https://www.lntipm.org/) was established in Vadodara, India to create excellence in project management. With a basket of courses L&T- IPM’s educational initiatives are emerging as benchmarks in project management education.

Challenge

L&T IPM was faced with the challenge of manual/email-based approvals for most of their business processes. Pre-planning of program, Conducting of program, Program closure were carried out by Microsoft Excel, or via emails. Substantial amount of their work time was spent on manual review, validation, and approval of requests. As a result, overall productivity of these processes was below par. Delayed approvals, decreased productivity, and redundant manual tasks were affecting performance of key processes at L&T IPM. All the approvals were being manually handled by the staff, which resulted in low efficiency and low visibility into their program statuses.

Solution

Cflow’s workflow management platform gave them the flexibility to configure their lifecycle of program management that works for the type of programs they do. It also offers features such as multi-level approval, mix and match approval for different programs and visibility of pending approvals for both the approvers and the participants.

To support L&T IPM solution needs, Cflow implemented a Program Design & Delivery workflow in October 2022. The Customer can choose the Types of Program, Level, New/Repeat and attach supporting documents and submit the request. This triggers an automated approval workflow to the relevant approver. If an approver is out of office, there is also an option to delegate the request to the backup approver to act on it.

Once the request is approved, it instantly notifies the customer and all the stakeholders in that request via email.

Conclusion

The L&T IPM team has found numerous advantages in moving from their manual process to Cflow’s automated Program Design & Delivery approval process.
